Privacy Policy

Teaching Nomad places teachers in schools around the world. Doing that means handling a lot of personal information about candidates — including identity documents — so this policy sets out exactly what we collect, why, who sees it, and what you can ask us to do about it.

Who we are

What we collect

Everyone with an account

• Name, email address, and whether you are a candidate or a school.
• Authentication data (a hashed password or sign-in link token) and sign-in times.
• Your communication and consent preferences.

Candidates

Most of this is optional, though a fuller profile produces better matches. Depending on what you choose to provide, it may include:

• Profile and eligibility: nationality and any additional nationalities, date of birth, gender, current country and city, address, and whether you are willing to relocate. Schools and immigration authorities routinely impose nationality and age requirements on teaching visas, which is why we ask.
• Household details: marital status, whether dependants would relocate with you, and any family details you add — used to match you to roles offering dependant allowances or family housing.
• Professional background: education and degrees, teaching licences, TEFL certification, subjects and grade levels, curriculum experience, languages, and years of experience.
• Preferences: desired countries, subjects, grade levels, start date, availability, and a minimum salary expectation. Your salary expectation is never shown to schools — it only filters out clearly mismatched roles.
• Documents: your résumé, and, if you choose to upload one, a photograph of your passport photo page. A passport is used solely to confirm that the nationality and date of birth on your profile match your document. No school ever sees it.
• Applications: the roles you apply to, cover letters, and the resulting correspondence.

Schools and employers

• School name, location, type, website, logo, and the staff who hold accounts.
• Job postings and their requirements.
• Hiring activity — candidates viewed, applications reviewed, introductions requested.
• Billing contact details and payment records.

Technical and usage data

• Records needed to run the service at all: session cookies, security tokens, and server logs containing IP address and browser type.
• Analytics on pages and jobs viewed, applications submitted, and email opens — collected only if you consent. See our Cookie Policy.
• If you arrive through a referral partner, a one-way hashed form of your IP address to attribute the referral. Your actual IP address cannot be recovered from the hash.

Why we use it, and our legal basis

Automated processing and AI

We use automated systems, including third-party AI models, in three places. We spell this out because it means your résumé and profile are sent to a model provider.

• Résumé parsing.When you upload a résumé, its text is sent to an AI provider to extract your work history, education, and qualifications so you don’t have to retype them. You review everything it extracts and can edit or delete any of it.
• Match scoring. When you apply, a model compares your profile against the role and produces a fit score and summary for the school and for our staff.
• Passport checks. If you upload a passport, a model reads the photo page and our own code compares the extracted nationality and date of birth against your profile.

These systems assist human decisions rather than replacing them. A low match score does not bar you from applying, and a failed passport check is routed to a member of staff rather than acted on automatically. You can ask us to review any automated output that affects you.

Who we share it with

Schools

This is the point of the service, so it deserves plain language. When you apply to a role, or accept an introduction, the school sees your profile, professional background, and résumé. If you opt in to being discoverable, verified schools can also find your profile in our candidate database and invite you to apply. Schools never see your passport or your minimum salary expectation, and they don’t get your contact details until an introduction is agreed. You can switch discoverability off at any time in your settings.

Service providers

A small number of processors operate parts of the platform. All are bound by contract to process your data only on our instructions.

We also disclose data where the law requires it, and we may transfer it as part of a merger or acquisition — in which case we will tell you before your data becomes subject to a different policy. We do not sell your personal data.

International transfers

Teaching abroad is inherently international. Our providers are based primarily in the United States, and the schools you apply to may be anywhere in the world, including countries whose data protection laws differ from those where you live. Where we transfer data out of the UK or EEA we rely on Standard Contractual Clauses or an equivalent safeguard. When you apply to a school, you are asking us to send your information to that school in its own country.

How long we keep it

• Your account: for as long as you keep it. We hold your profile until you ask us to delete it rather than expiring it on a timer — teaching placements can be years apart, and a stale profile is easier to update than to rebuild. You can delete yours at any time from your settings, and we act on that request.
• Passport images: deleted once verification is complete or the check is resolved. We keep the outcome, not the image.
• Placement and financial records: as long as tax and accounting law requires, typically six to seven years.
• Analytics: retained only in aggregated form that no longer identifies you.

Your rights

Wherever you live, you can ask us to do all of the following, and we won’t charge you or treat you differently for asking:

• Get a copy of the data we hold about you, in a portable format.
• Correct anything inaccurate — most of it you can edit directly in your profile.
• Delete your account and your data, from your settings. Some records must be retained where the law requires it.
• Withdraw consent — for marketing, analytics, or discoverability — at any time.
• Object to or restrict processing based on our legitimate interests.
• Ask a human to review an automated output that affects you.

Email privacy@teachingnomad.com and we will respond within 30 days. If you are in the UK or EEA and are unhappy with our response, you may complain to your national data protection authority. If you are in California, you hold the rights described above under the CCPA, including the right not to be discriminated against for exercising them.

Security

Data is encrypted in transit and at rest. Résumés and passport images are held in private storage and served only through short-lived signed links to people entitled to see them. Staff access is restricted and logged. No system is perfectly secure, but if a breach affects your data we will notify you and the relevant regulator as the law requires.

Children

The platform is for teaching professionals and is not intended for anyone under 18. We do not knowingly collect data from children; if you believe we have, contact us and we will delete it.

Changes to this policy

If we make a material change we will update the effective date above and notify account holders by email before it takes effect.
